The Problem

The compressor the manufacturer should have paid for

A customer's condenser dies in August. Your technician replaces the compressor, the office bills the customer, and the customer pays. Three weeks later someone in the family points out that the unit was installed four years ago with a ten-year parts warranty. Now you are issuing a refund and chasing a claim you should have started on the first call.

Service companies install and repair equipment they do not own. The warranty belongs to the customer, the paperwork usually sits in a drawer at their house, and nobody at your shop knows it exists until it is too late. Equipment warranty tracking puts the warranty on the equipment record, where the office can see it.

How It Works

Warranty details on every asset

Warranty on the asset

On Enterprise, each piece of customer equipment is an asset at the customer's service location, with model, serial number, install date and service history. The asset record also stores the warranty: start and end dates, coverage details and who provides it.

Alerts before it ends

A feed of asset alerts covers warranty expiry, filterable by severity and type. You have time to raise a claim while the cover is still valid, or to start the replacement or maintenance plan conversation on your schedule instead of after a breakdown.

Warranty work on the record

Log warranty work as a service entry on the asset with the Warranty Claim type, so it sits in the equipment's service history next to every other visit.

Limits

What warranty tracking does and does not do

FSM Navigator keeps the record. A warranty claim is logged as a service entry on the asset. There is no claim status that moves through stages, FSM Navigator does not file claims with manufacturers, and whether a claim is approved is up to the manufacturer or warranty provider.

The asset must exist on the customer's location first; warranty details live on that record. Customers can see the warranty end date on their equipment in the customer portal, and equipment-linked maintenance agreements sit on the same asset records. Install Date

Registration windows: why the install date matters

Many manufacturers tie warranty length to registration. Trane says its Registered Limited Warranty applies when the product is registered within 60 days of installation, and Carrier asks owners to register within 90 days of installation to activate their preferred coverage. Rules differ by brand, so check the manufacturer's current terms for the equipment you install most.

Recording the install date on the asset means the warranty dates start from the right day, whatever the brand's rules. Solar has its own warranty layers; see solar warranty service tracking.

Plans

Plans and what you need first

Warranty tracking is part of asset management, which is on the Enterprise plan. See also asset lifecycle, asset maintenance and asset tracking.

HVAC contractors can see how this fits HVAC businesses and HVAC maintenance agreements. Maintenance visits that keep warranties valid can repeat on their own with recurring jobs or run under service agreements, and technicians can document a failure with job photos. FAQ

Equipment warranty tracking, answered

What is equipment warranty tracking software?

Software that stores warranty dates, coverage and provider on each piece of equipment and flags warranties that are about to end. For a service company, that means warranties on your customers' equipment, not your own.

Can I track warranties on customer-owned equipment?

Yes. Each customer unit is an asset at their service location in FSM Navigator, with its warranty on the asset record.

Will I see warranties before they expire?

Yes. The asset alerts feed covers warranty expiry and can be filtered by severity and type.

Can I log warranty claims?

You can log warranty work as a service entry on the asset with the Warranty Claim type. FSM Navigator does not track a claim status or file with manufacturers, and approval is up to the manufacturer or warranty provider.

Which plan includes warranty tracking?

Enterprise, as part of asset management. See the pricing page.
