Bring Your Own AI to Your Field Service Software

FSM Navigator® runs your service business in one app, from first call to renewals. The FSM Navigator AI Connector links the AI assistant you already pay for to your account. Ask it about your jobs, customers and quotes. Let it draft quotes. Nothing reaches a customer until a person on your team sends it.

Included with Enterprise and the 14-day trial. Your company's Owner chooses what your AI can read in Company Settings and can turn it off. Works with Claude, ChatGPT, Gemini, Grok and voice-agent platforms such as Vapi and Retell.

A card is required at signup · Nothing is charged until the trial ends · No AI usage fees from us

The Problem

Your AI Is Smart. It Can't See Your Business.

You already ask ChatGPT or Claude to help word an email or price out a job. Then you copy the job notes in, one window at a time. The AI never sees the customer's history or this week's jobs, and it has no idea the Hendricks furnace was out twice last winter.

The AI Connector closes that gap. Your assistant reads your FSM Navigator data with the same access you have, and answers from your real records instead of guessing.

What You Can Ask

Ask Your Business a Question, Get a Straight Answer

"Which jobs are due tomorrow, and who has each one?"

"Summarize the Hendricks job, including the tech's notes."

"Which quotes went out last week and haven't been answered?"

"Which open jobs are past their due date?"

"Who's free tomorrow afternoon?"

"What equipment is linked to the job at 418 Oak Street?"

Your AI can read customers and their service locations, jobs with their notes and linked equipment, the reasons your company uses for putting a job on hold, recurring jobs, technicians and each one's schedule for a day, quotes and your pricebook, stock levels and low-stock items, purchase orders without costs, equipment maintenance, warranties, service history and alerts, service agreements without fees, service requests waiting for your team, work order status, customer reviews, and a business summary with no dollar amounts. Your company's Owner chooses which of these it can read, and it sees only what your role in FSM Navigator lets you see, for your own company only. Money data such as invoices and payments stays off unless your company's Owner allows it, and each person also approves it when connecting.

Drafts Only

Your AI Drafts. Your Team Sends.

This is the part most owners ask about first. Your AI can draft a quote and the message that goes with it, using items from your pricebook for the lines. The draft lands in FSM Navigator. A person reviews the price, lines and wording, and sends it from FSM Navigator.

Your AI never texts or emails your customers. It can't change a job, an invoice or the schedule, and it can't assign a technician.

Some field service tools let their AI book or change work directly. We made the opposite call on purpose: the AI does the typing, and your team makes the decision. See how quotes work in FSM Navigator, and how the pricebook keeps your prices consistent.

The same goes for membership offers, renewal offers and follow-ups on unanswered quotes. Read how your AI can handle drafting quotes, renewal offers and follow-ups.

Phone Intake

After-Hours Calls Become Requests, Not Surprises

Connect a voice-agent platform such as Vapi or Retell, and it can answer your phone, check the open appointment windows on your online booking page and create a service request. It connects with a receptionist key that can only look up openings and create a Pending request. The request arrives in your normal review queue, and nobody is booked until your staff confirm it.

Security and Control

Your Rules, Your Sign-In, Your Off Switch

Written for your IT reviewer as much as for you. The same answers are in the AI Connector help guide.

Your Own Sign-In

Every connection uses the person's own FSM Navigator login and permissions. A Dispatcher's AI sees what a Dispatcher sees.

You Approve It

Connecting shows an FSM Navigator "allow access" screen. Nothing connects without that click.

Built on Open Standards

FSM Navigator hosts the MCP server, so there is nothing to install. It uses the open MCP standard and a secure sign-in you approve.

You Hear About It

The person who connected the AI app gets a security email for every new or re-activated connection.

You Can Turn It Off

Each person sees their own connections under Profile → Security → My AI connections and can disconnect any of them. An Owner can remove any connection in the company. The AI loses access on its next request.

Voice Keys Do One Job

A receptionist key, which an Owner creates in Company Settings → API Keys, can only look up openings and create Pending requests. It can't read your customer list or draft quotes. Drafting always needs a signed-in person.

It's Logged

Every AI action is recorded in your company's audit trail.

It Has Limits

Usage limits apply per connection and per company.

Customer Text Is Handled With Care

Text written by you or your customers, such as a note on a job, is marked as untrusted when your AI reads it. That lowers the risk of someone hiding instructions to the AI inside a message.

On Enterprise it's on unless your company's Owner turns it off in Company Settings. The Owner chooses which kinds of data your AI can read, and money data such as invoices, payments and profitability stays off until the Owner turns it on. Owners, Managers and Dispatchers each connect their own AI app, no AI connects until that person approves it, and nobody's AI can go beyond what the Owner allows. Technicians can't connect in the first version.

No AI Usage Fees From Us

FSM Navigator doesn't run an AI of its own. You use your own subscription to Claude, ChatGPT, Gemini, Grok or a voice-agent platform, and you pay that provider directly under their terms. We don't add a per-question or per-call charge on top.

Works With Any AI App That Supports MCP

The AI Connector is FSM Navigator's hosted MCP server. It is built on the Model Context Protocol (MCP), an open standard that lets AI apps connect to business software.

Works with Claude · ChatGPT · Gemini · Grok · Vapi · Retell

Each AI app sets its own plan requirements for custom connectors. Business and team plans usually include them. The step-by-step setup guide covers each one.

Where It Fits

One App From First Call to Renewals, With Your AI Alongside

Your AI doesn't replace anything. Intelligent dispatch still matches the right technician to every job. Work orders, inventory management and asset management still live in FSM Navigator. The AI Connector gives your assistant a window into your jobs, customers and quotes.

Want events sent to your own systems instead? Webhooks and the REST API are on Enterprise too. New to the idea? Read what MCP means for a trades business.

FAQs

AI Connector Questions

Which plan includes the AI Connector?

Enterprise, and it is included in the 14-day Enterprise trial. It is not on Free or Pro. On Enterprise it is on for everything except money data, which stays off until your company's Owner turns it on. The Owner chooses what your AI can read in Company Settings and can turn any of it off.

Is the AI Connector an MCP server?

Yes. FSM Navigator hosts the MCP server for you, so there is nothing to install or run. In your AI app, add a custom connector with the connector address https://fsmnavigator.com/mcp, sign in with your FSM Navigator account and approve access. Owners also see the address in Company Settings → AI Connections.

Which AI apps work with it?

Any app that supports custom MCP connectors. That includes Claude, ChatGPT, Gemini and Grok, and voice-agent platforms such as Vapi and Retell. Each AI app decides which of its own plans allow custom connectors, so check your provider's current help page.

Does FSM Navigator charge for AI?

No. FSM Navigator does not run an AI and does not charge AI usage fees. You pay your AI provider directly for your own subscription.

Can the AI send something to my customer?

No. It can draft a quote and its cover message. A person on your team reviews the draft and sends it from FSM Navigator. The AI never texts or emails your customers.

What can the AI see?

Customers and their service locations; jobs with their status, due date, assigned technician and notes, plus the reasons your company uses for putting a job on hold; recurring jobs; technicians, their availability and each one's schedule for a day; quotes and pricebook items; stock levels and low-stock items; purchase orders without costs; equipment maintenance, warranties, service history and alerts; service agreements without fees; service requests waiting for your team; work order status; customer reviews; and a business summary with no dollar amounts. Your company's Owner chooses which of these your AI can read, and it sees only what the connected person's role can see, for your company only. Money data such as invoices and payments stays off unless your company's Owner allows it, and each person also approves it when connecting.

Does my AI provider see my data?

Yes, the part you ask about. When you ask your AI about a job, that job's details go to your AI provider so it can answer. That is how any AI assistant works. Check your provider's data policy; business plans usually have stricter terms than personal plans.

Can the AI be wrong?

Yes. AI assistants can misread a record or fill a gap with a guess. That is one reason every quote is a draft a person checks. For anything that matters, open the record in FSM Navigator and confirm.

Who on my team can connect an AI app?

Owners, Managers and Dispatchers. Each person connects their own AI app. Technicians cannot connect in the first version.

How do I disconnect an AI app?

Open your Profile, go to the Security tab and disconnect it under My AI connections. The AI loses access on its next request. An Owner can also remove any connection in the company from Company Settings → AI Connections. The person who connects an AI app gets a security email each time, so nothing connects quietly.

Is this the same as intelligent dispatch?

No. Intelligent dispatch is FSM Navigator's rule-based dispatch engine, and it matches technicians to jobs. The AI Connector lets your own AI assistant read your data and draft quotes. It does not assign technicians.

What are the usage limits?

Usage limits apply per connection and per company, so one runaway connection cannot affect your whole account.

See It With Your Own AI

Connect the assistant you already use and ask it which jobs are due tomorrow.
