A tech finishes a diagnostic at 4:30 and the customer wants a replacement price. The quote goes out Thursday, if someone gets to it after invoicing. Nobody follows up, because the phone keeps ringing.

Renewals slip the same way. An agreement ends in six weeks, and nobody notices until the customer calls someone else for the spring tune-up. Customers who'd be a good fit for a membership never hear about one, because offering it means writing something.

Plenty of owners already paste notes into an AI assistant to clean up a quote. The trouble is that the assistant doesn't know your prices, your customer's history or your plan terms, so someone still checks every line, or doesn't.

How It Works

How AI Quoting Works When Your Team Stays in Charge

  1. Connect your AI. Owners, Managers and Dispatchers each connect their own AI app with their own FSM Navigator sign-in. No AI app connects until that person approves it. It's on unless your company's Owner turns it off in Company Settings → AI Connections, where the Owner chooses which kinds of data the AI can read. Money data such as invoices and payments stays off until the Owner turns it on.
  2. Ask for a draft. Type the request the way you'd say it to your office manager: "Draft a replacement quote for the Hendersons."
  3. FSM Navigator checks the wording. Promises such as a guarantee, pressure lines such as "act now", and any dollar amount or date that doesn't match your records are flagged, and the AI rewrites them.
  4. You review and send. The draft waits in FSM Navigator. Change what you want. It goes out when someone on your team sends it, and not before.
  5. Your customer accepts online. The customer opens the quote or offer from the email, reads it and accepts it online.

Renewal Offers Before Agreements Lapse

The AI reads your renewal pipeline: the agreements inside their renewal notice period, soonest end date first. It drafts a renewal offer for each one you pick. The customer, service location and renewal price come from the agreement, and FSM Navigator adds the current term, the renewal price and what happens when the term ends. Membership Offers

The AI drafts an offer for one of your membership plans, built from what you've already done for that customer. FSM Navigator prices it from the plan, one option for each billing cadence the plan offers, and adds the plan's coverage, term, renewal and cancellation terms. Memberships can renew automatically with the customer's consent; you decide whether each plan offers it.

The AI lists the quotes still waiting on a customer and drafts a short, polite follow-up for each. If it drafts a second one, it replaces its own earlier draft, never a follow-up a person wrote.

Your Owner sets a writing style in Company Settings → Sales Writing: your trade, a tone from casual to formal, warmth, reading level, length for each kind of draft, a sign-off and words to avoid. The AI reads those rules before it writes, and every draft is checked against them.

A pest control company that signs off "See you next quarter" can keep sounding that way. An electrical contractor that writes short and to the point gets short and to the point. You still read every draft before it goes. If a line doesn't sound like you, change it.

Questions Owners Ask

Does FSM Navigator include the AI?

No. You connect the AI you already use, such as Claude, ChatGPT, Gemini or Grok, to your FSM Navigator account through the AI Connector. You keep using that assistant the way you do today, and FSM Navigator does not charge AI usage fees.

Can the AI send a quote or an email to my customer on its own?

No. The AI can only create and revise drafts. A person on your team reviews each draft and sends it from FSM Navigator. The AI cannot send, approve, charge or sign anything.

Where do the prices come from?

Quote lines picked from your pricebook carry your pricebook price. Membership offers are priced from the plan and renewal offers from the agreement, and the AI cannot change those prices. Plan terms and required notices are added by FSM Navigator from your records and the clauses your Owner writes. You still check every price before you send.

Will the drafts sound like a robot wrote them?

Your Owner sets a writing style in Company Settings, including your trade, tone, reading level, length, sign-off and words to avoid. The AI reads those rules before it writes, and you read every draft before it goes out, so you can change anything that does not sound like you.

What does FSM Navigator check before I see a draft?

It checks the wording the AI wrote. Promises such as a guarantee, pressure lines such as "act now", dollar amounts or dates that do not match your records, and words your Owner listed to avoid are flagged so the AI can rewrite them. The checks catch misses. They do not replace your own review, and they are not legal advice.

What about customers who have unsubscribed?

Membership and renewal offers are marketing email, so each one says it is an offer from your company and carries your mailing address and an unsubscribe link. Customers who unsubscribed from offers do not get them. If your mailing address is missing, the offer cannot be sent until you add it.

Can memberships renew automatically?

Memberships can renew automatically with the customer's consent. You decide whether each plan offers it. The AI never writes renewal or cancellation terms; FSM Navigator states them from your plan.

Who on my team can use it?
