The plan you sold last spring is only worth something if the visit happens
Most plumbing shops that sell maintenance plans run them out of a spreadsheet, a stack of paper agreements and somebody's memory. That works for twenty members. At two hundred, it starts leaking. A member's annual water-heater flush never gets booked. The office bills a drain call that the plan covered, and the customer phones to complain a month before renewal. A commercial account's contract promises a resolution time, and nobody put that deadline on the job.
Plumbing maintenance agreement software fixes the part that happens after the signature. The agreement itself schedules the visits, tells the invoice what is covered and warns you before the term ends. Your office stops re-deciding the coverage on every job.
How plumbing maintenance agreement software runs the plan for you
In FSM Navigator, a service agreement is one record: the customer, the service location if it is site-specific, start and end dates, the fee, what is covered, the response and resolution hours you promised, and when to warn you about renewal. Each agreement gets its own number when it is saved, and you can add your own reference for the customer's paperwork.
Visits that create themselves
Pick the visit frequency when you set up the agreement. While the agreement is in force, the visit jobs are created on schedule and land on the schedule like any other job. Nobody has to remember that the Hendersons are due for their annual inspection in March. The same repeat engine is available on its own as recurring jobs.
Covered work bills at zero, hours still shown
When you raise the invoice, FSM Navigator finds the agreement that governs the job and pre-ticks the covered lines. They bill at zero, but the real hours and quantities still show, so the customer sees what the plan delivered. Untick a line that was not covered.
Resolution hours set the deadline
Record the resolution hours you promised and they set the SLA deadline on new jobs for that customer or location. Response hours are recorded on the agreement as a reference for your team.
Renewals you see coming
Every agreement has its own renewal lead time, so you get a reminder before the end date. Renewing creates the next term, keeps the covered equipment selected and links it back to the term before.
You choose what an agreement covers
You tick what each agreement waives: labor, permits, inspections, travel or other charges. Anything left unticked is billed as normal. A response-only agreement waives nothing and just records what you committed to.
- Labor, permits, inspection and travel lines are available on Pro.
- Parts and full coverage need inventory, which is on Enterprise.
- On Enterprise, an agreement can cover a specific water heater, softener or backflow assembly, and that agreement wins for jobs on that equipment.
Membership plans for homeowners, service agreements for commercial accounts
Service agreement, maintenance agreement, service contract and membership plan are the same record in FSM Navigator, and you pick the word your customers see. Most plumbing shops sell a membership plan with member pricing to homeowners and write service agreements for property managers and restaurants.
Members get the plan's discount on their invoices. If the office also gives a discount, the larger one applies and the two never add together. With your Stripe account connected, the plan fee can be charged to the customer's saved card automatically.
A membership renews automatically only if the customer agrees at sign-up, by ticking a box that starts unticked. Before each automatic renewal the customer gets a notice with a link to stop it online. These are tools to help you follow automatic-renewal and online-cancellation rules; you are responsible for your own compliance, so have your own counsel review your terms.
The best time to sell a plumbing plan is when the technician is standing next to a water heater that is twelve years old. Your techs can sell any plan you have marked as sellable in the field, from the open job in the iOS and Android app, with the customer's consent captured on the phone. Customers can also sign up in the customer portal. For sales made in the customer's home, the sale shows the cooling-off terms where they apply; the FTC's Cooling-Off Rule gives buyers until midnight of the third business day to cancel many in-home sales.
What goes in a plumbing maintenance plan
There is no single standard, but most residential plumbing plans are built around a yearly whole-home inspection and the water heater. Typical line items are an annual visit covering fixtures, supply lines, shut-off valves, visible drain lines, the sump pump and the water heater, plus member pricing on repairs. For the water heater, the City of Anaheim's utility guidance says to open the drain valve every 6 months and check the relief valve annually, with more frequent flushing where water is hard.
Commercial agreements usually add the hours you promise to resolve a call and a reference number the customer wants on every invoice. FSM Navigator stores your own reference for the customer's paperwork on the agreement, and you can attach the signed agreement and supporting files to it.
If you need a starting point for the wording, read our guide to writing a plumbing service agreement and the explainer on service agreements and maintenance contracts. Have your own counsel review the final document.
From first call to renewals, in one app
A maintenance plan connects to everything else your shop does. A homeowner requests a service on your plumbing online booking page at 10pm. The technician closes the job, offers the membership and gets the customer's consent on the phone before leaving. The invoice goes out from the job. Next spring, the agreement books the inspection by itself. Quote the repair side from your flat rate pricebook for plumbers.

Which plan you need
Service agreements and membership plans are on Pro: customer and site agreements, labor, permit, inspection and travel coverage, scheduled visits, agreement fee billing, member pricing, automatic card payments and automatic renewal with the customer's consent.
Enterprise adds agreements tied to individual equipment and parts or full coverage. The Free plan does not include agreements. Current prices are on the pricing page.
Plumbing maintenance agreements, answered
What should a plumbing maintenance agreement include?
The services covered (usually an annual inspection and water-heater maintenance), how often visits happen, the fee and how it is billed, member pricing on repairs, the term and how renewal works, and how the customer cancels. Commercial agreements often add the hours you promise to resolve a call.
How do I keep track of which members are due for a visit?
Let the agreement do it. In FSM Navigator you set the visit frequency once, and the visit jobs are created on schedule while the agreement is in force, so nothing depends on a spreadsheet reminder.
Do plumbing maintenance agreements renew automatically?
Only when the customer agreed to automatic renewal at sign-up. The customer gets a renewal notice with a link to stop it first. For every other agreement, you get a reminder before the end date and renew it from the agreement, which creates the next term.
Can my technicians sell a membership in the field?
Yes, on Pro. A technician can sell any plan you have marked as sellable in the field from the open job in the mobile app, with the customer's consent captured on the phone.
What is the difference between a service agreement and a membership plan?
In FSM Navigator they are the same kind of record. A membership plan usually means a homeowner plan sold at a set price with member pricing on repairs; a service agreement usually means a contract written for a commercial customer or site. You choose the word your customers see.
Will covered work show up on the invoice?
Yes. When you raise the invoice, the coverage boxes are pre-ticked for what the agreement waives and the agreement is named beside them. Covered lines bill at zero with the real hours and quantities still showing, and you can untick a line that was not covered.
