See How the Business Is Doing Without Building a Spreadsheet

The owner dashboard is built from the jobs, invoices and customers your team already works in. It shows how old your open work is, how often you go back to a site, how often techs arrive on time and which good customers have gone quiet.

The KPI dashboard and weekly business report are on Pro and Enterprise · Basic reporting is on every plan

The Problem

Sunday night, rebuilding last week in Excel

Most owners know their revenue. Fewer know how many jobs have been waiting for weeks, how many customers needed a second visit, or which good customers have not called in a year. The data is in the system. Getting it out usually means an export, a pivot table and a Sunday night.

Field service reporting software should hand you those numbers without the Sunday night.

The Owner Dashboard

The numbers that matter

Operations

  • Open backlog age. How long open jobs have been waiting, grouped by age. A growing pile of old jobs is a capacity problem before it is a customer problem.
  • Return visit rate. How often a new, unplanned job at a location follows a job you recently finished there. That is your callback signal.
  • On-time arrival. Of booked visits with a recorded arrival, how many reached the site by the booked time.

Customers

  • Returning and first-time customers. Whether the work comes from new customers or repeat business.
  • Customer retention. Of the customers you served last period, the share you served again this period.
  • Lapsed customers. Customers whose last job was a while ago, with nothing open, as a ready-made call list for the office.

Money and people

  • Revenue and job counts over the dates you choose, with trends.
  • Job profit. Revenue against labor and parts cost on completed jobs. See job profitability.
  • Technician results in their own tab, next to time tracking and timesheets if you use them.

It is built from your jobs, invoices and customers, so nobody maintains it. For what to measure and why, read field service metrics that move margin.

The Weekly Business Report

A summary in your inbox

Not every owner wants to log in on a Monday. The weekly business report emails the account Owner a summary of the week, with job metrics, revenue and performance, so you can see how the week went over coffee and decide whether you need to dig in.

It is on Pro and Enterprise, and it is a summary, not the whole dashboard. When something looks off, open the dashboard and look at the tab behind it.

Exports

Take the numbers with you

KPI figures export to CSV on Pro and Enterprise, so the owner, the accountant or a lender can work with them in a spreadsheet. Customers, invoices and the financial and tax summary export to CSV on every plan. If your books are in QuickBooks Online, see how invoices and payments are sent there.

FAQs

Field Service Reporting Questions

What KPIs should a field service dashboard show?

At minimum: how old your open jobs are, on-time arrival, return visits, revenue and job profit. For growth, add customer retention and lapsed customers. The owner dashboard in FSM Navigator shows all of these.

Can I get reports by email?

Yes. On Pro and Enterprise, the weekly business report emails the account Owner a summary of the week with job metrics, revenue and performance.

Can I see profit on each job?

Yes. Job profitability, on Pro and Enterprise, compares revenue with labor and parts cost on completed jobs.

Can I export reports?

Yes. KPI figures export to CSV on Pro and Enterprise, and customers, invoices and the financial and tax summary export to CSV on every plan.

Is reporting included on the Free plan?

Basic reporting is. The KPI dashboard and the weekly business report are on Pro and Enterprise.

How do you measure return visits?

FSM Navigator counts new, unplanned jobs at a location where you recently finished a job. Planned work such as recurring visits and agreement visits is not counted.
