A winterization plan is the best kind of revenue: the customer agrees once, you show up every fall, and the card on file pays. It is also the plan most likely to get a surprise dispute in the first cold month, because the customer sees a charge months after they signed up and does not recognize it. Here is how to set the plan up so the renewal is welcome and, if a dispute does come, your records are ready.
Make the renewal something the customer expects
- Opt-in automatic renewal. In FSM Navigator, a membership renews automatically only when the customer ticks the automatic-renewal box at sale, and it starts unchecked.
- A renewal notice before the term ends. The customer hears from you before the charge, not after.
- An online way to stop. The customer can stop automatic renewal online at any time.
- Consent for a price rise. A price increase of more than 10% over what the customer agreed to needs their fresh consent before it renews.
These are tools that help you follow automatic-renewal and online-cancellation rules. You are responsible for your own compliance; FSM Navigator provides tools.
What Stripe documents about Visa Compelling Evidence 3.0
For some Visa disputes Stripe supports a response format called Compelling Evidence 3.0. Stripe’s documentation (Visa Compelling Evidence 3.0 disputes) lists what has to be true:
- The disputed transaction is a Visa transaction with network reason code 10.4.
- There are at least two previous transactions with the same payment method that were paid and not disputed, between 120 and 364 days before the disputed one.
- You give a product description for the disputed charge and for each earlier one, and label the disputed charge as merchandise or services.
- The disputed charge and both earlier ones match on two main evidence elements, or on one main element and one secondary element. Main elements are the customer purchase IP and the device fingerprint or device ID. Secondary elements are the shipping address, the customer email address and the customer account ID.
Stripe says submitting qualifying evidence can increase the chance of the issuer reversing the dispute. It is not a guarantee, and the issuer decides.
Why the calendar matters for winterization
Look at the 120 to 364 day window against a once-a-year plan. A customer who paid for last year’s fall blowout paid about a year earlier, which can fall outside the window, and one earlier payment is fewer than the two Stripe documents. A plan with a spring opening, a mid-season visit and a fall winterization, billed as separate undisputed payments, gives you earlier transactions in the right range. That is a reason to think about how you split the year’s charges, and your payment processor can tell you what applies to your account.
Keep the plan record together
Whatever the dispute format, the strongest file is a plain one: the agreement the customer accepted, the visits completed with dates and technician, and the invoices. In FSM Navigator these sit on the same customer record, and the schedule moves to the next term when the plan renews. Plans can be paid by card autopay once your Stripe account is connected, and a platform fee applies to online payments. See membership plans, autopay for maintenance plans and FSM Navigator for irrigation and sprinkler companies.
Before the first frost
- Check that every plan’s renewal notice went out.
- Confirm each customer’s card is current and their last visit is logged.
- Split the season into separate billable visits where it fits your business.

Frequently Asked Questions
Can a winterization plan renew automatically?
In FSM Navigator, a membership renews automatically only when the customer ticks the automatic-renewal box at sale, which starts unchecked, and pays by card autopay. The customer gets a renewal notice before the term ends and can stop automatic renewal online. You are responsible for your own compliance; FSM Navigator provides tools.
What does Stripe say about Visa Compelling Evidence 3.0?
Stripe documents that it applies to Visa disputes with reason code 10.4 and needs at least two earlier undisputed transactions with the same payment method, 120 to 364 days before the disputed one, with matching evidence elements. Submitting qualifying evidence can increase the chance of a reversal; it is not a guarantee.
Does a once-a-year plan qualify for Compelling Evidence 3.0?
A single charge about a year earlier can fall outside the 120 to 364 day window Stripe documents, and one earlier payment is fewer than the two it requires. Splitting the year into separate undisputed visits can change that. Ask your payment processor what applies to your account.
