Company Settings: Sales Writing¶
Sales Writing is where you decide how customer messages drafted by your AI app should sound, and what wording they are allowed to attach. It has three parts: your writing style, your clauses and terms, and a preview of the notices FSM Navigator adds to membership offers.
Nothing on this tab sends anything. An AI app connected through the AI Connector only ever saves drafts, and a person on your team reviews and sends every message.
Who can use this tab¶
The Sales Writing tab appears in Company Settings on the Pro and Enterprise plans.
- Only the Owner can change these settings.
- Managers, Dispatchers and Technicians don't see the tab.
- An AI app can read your writing style so its drafts follow it, but it can never change it.
| Part of the tab | Plan |
|---|---|
| Writing style | Enterprise (it is used only by the AI Connector) |
| Clauses and terms | Pro+ |
| Disclosure preview | Pro+, once you have at least one agreement plan |
On the Pro plan, the Writing style section shows a short note and a link to see plans instead of the settings.
Writing style¶
Pick the settings that match how your business talks to customers, then click Save writing style.
| Setting | What it changes |
|---|---|
| Trade | Starts every other setting from sensible defaults for your kind of work, such as HVAC, plumbing, cleaning or facility services. Settings you never changed follow the trade when you switch it. |
| Usual reader | Homeowners or business customers. |
| Tone | Casual, friendly and professional, or formal. |
| Warmth | Reserved, balanced or warm. |
| Urgency | None, factual (real dates and reasons only) or seasonal. Pressure wording such as "act now" is never allowed at any setting. |
| Reading level (at most) | Grade 6, 8 or 10. Lower is simpler. |
| Length by message type | Short, standard or detailed for quote cover notes, quote follow-ups, renewal offers and membership offers. Each one shows the word range it means. |
| Sign-off | How messages end. You can use {first_name}, {company_name} and {phone}, which are filled in for each message. |
Words to avoid¶
Add words your company never wants in a customer message, with an optional word to use instead. For example, avoid "cheap" and use "affordable". You can list up to 100 words.
Under More phrases to avoid you can add up to 50 extra phrases of your own.
Always avoided¶
FSM Navigator holds every company to a short list of rules that protect you and your customers. You can add to them, but you can't remove them. They include:
- no guarantee, money-back or warranty promise unless the matching clause is attached
- nothing called "free" unless its conditions are stated
- no "lowest price" or "best in town" claims
- no pressure or deadline wording unless a real valid-until date backs it
- no description of cancellation, liability or payment terms; the matching clause is attached instead
A replacement word can't be one of these phrases either. If you try, the save is refused with a message explaining why.
Clauses and terms¶
Clauses are your own wording for terms and conditions, cancellations and refunds, renewal terms, warranties, limits of liability, payment terms and offer conditions. When an AI draft mentions one of these topics, it is asked to point to your clause instead of describing the terms in its own words.
- Click Edit next to a clause.
- Type or paste your wording.
- Click Save clause. The label changes to Written.
To stop using a clause, open it and click Clear.
Right to cancel (home-visit sales)
This notice is the federal Notice of Cancellation for sales made in a customer's home, set by FSM Navigator. You can read it here but not change it. Your company name, mailing address, the date of each sale and the last day to cancel are filled in for you. It is shown in English.
Disclosure preview¶
FSM Navigator builds the required notices for a membership offer itself: the plan, its price before tax and the total for the first term, the term, how renewal works, how to cancel, and your company details. Offer emails also say they are an offer from your company, above your mailing address and the unsubscribe link. Nobody can edit these notices, including the AI. The preview shows you exactly what they say for one of your plans.
To see them:
- Choose an Agreement plan.
- Turn on Sold during a home visit if you want to see the right-to-cancel notice too.
- Click Show preview.
The preview is never sent to anyone. In a real offer, the customer's unsubscribe link takes the place of the preview note.
Company mailing address¶
Membership and renewal offers count as marketing email, and the law requires a physical mailing address in every one. If your street, city, state or ZIP code is missing, this tab shows a warning with a link to Company Information, and the notices for an offer are marked as not ready to send until the address is complete.
If someone else changed the settings¶
If another person saved changes while you had the tab open, your save is refused so nothing is overwritten. You'll see a message asking you to reload. Click Reload settings (or Reload clause for a clause), check the latest values, then make your change again.
