Custom Fields on Jobs and Customers¶
Every business tracks a few details that no standard form asks for: a purchase order number, a gate code, a warranty reference, the customer's preferred contact window. Custom fields let you add those details to your jobs and customers so your team records them in the same place every time.
Who can use custom fields¶
Custom fields are included on the Pro and Enterprise plans. They are not available on the Free plan.
| Plan | Fields per record type |
|---|---|
| Pro | 10 job fields and 10 customer fields |
| Enterprise | 50 job fields and 50 customer fields |
Owners and Managers set up the fields. Everyone on your team who can create or edit jobs and customers fills them in.
Open the Custom Fields page¶
Select Custom Fields in the side menu, under Settings. The page has two tabs, Jobs and Customers, and each tab lists that record type's fields in the order they appear on forms. The line above the list shows how many fields you have used out of your plan's allowance.
Add a field¶
- Choose the Jobs or Customers tab.
- Select Add field.
- Enter a Field name. This is the label your team sees on forms.
- Choose a Type (see the table below).
- Optionally change the Field key. It is made from the name automatically and is used as the column name when you import customers from a CSV file.
- Set the options you need, then select Save field.
| Type | What your team enters |
|---|---|
| Text | A short line of text |
| Textarea | Several lines of text |
| Number | A number, with an optional lowest and highest allowed value |
| Date | A calendar date |
| Dropdown (Select) | One choice from a list you type in, one choice per line |
| Yes/No (Boolean) | Yes or No |
| URL | A web address |
| An email address |
Some settings can't be changed later
The type, the field key and the private setting are fixed once a field is created. To change one of them, create a new field and delete the old one.
Options for each field¶
| Option | What it does |
|---|---|
| Required | Optional by default. Required when created means a new job or customer can't be saved without it. For job fields, Required to complete the job lets the job be created without it but asks for it before the job can be marked completed. |
| Default value | Filled in automatically on new records. Your team can change it. |
| Hint inside the box | Placeholder text shown inside an empty field. |
| Help text | A short explanation shown under the field. |
| Maximum length | For text fields, the most characters allowed. |
| Private | Stores the value encrypted. Available for Text, URL and Email fields, up to 255 characters, and a private field can't have a default value. |
| Active | Turn this off to hide a field from forms without deleting it. |
Change the order¶
Use the up and down arrows in the Order column. Forms show fields in the same order.
Delete and restore a field¶
Select Delete on a field and confirm. The field disappears from forms, and values already saved stay with your records. To bring a field back, tick Show deleted fields, then select Restore. A deleted field doesn't count toward your plan's allowance, so you may need to delete another field before you can restore one.
Fill in custom fields¶
- New job and Edit job: a Custom fields group appears under the description. Default values are already filled in.
- Job details page: the Custom Fields section on the Details tab shows the saved values. Select Edit to change them, then Save fields.
- Completing a job: if a field that is required to complete the job is still empty, the completion dialog shows that field so you can fill it in and select Mark Complete again.
- Add Customer: the customer's fields appear above the initial location details.
- Customer details page: saved values appear in the Customer Information card. Select the edit button on that card to change them.
- CSV import: see Custom field columns in the bulk import guide.
If a required field is missing or a value isn't valid, the message appears under that field and nothing is saved until it is fixed.
If your plan changes¶
If your company moves to a plan that doesn't include custom fields, your fields and their saved values are kept and still show on your records, but the Custom Fields page becomes read-only. Upgrade again to add or change fields. If you move from Enterprise to Pro with more fields than the Pro allowance, all of your fields keep working, and you can add a new one once you are below the allowance.
