Pricebook¶
Pro and Enterprise feature
The pricebook is available on the Pro and Enterprise plans. Linking a material to an inventory item needs the Enterprise plan, because it uses inventory. Compare plans to find the right fit for your business.
The pricebook is your company's price list. Instead of retyping what a drain clearing or an hour of labor costs every time, you set the price once and everyone on the team reads the same number.
Open it from the side menu: Operations → Pricebook.
Three kinds of items¶
The page has one tab for each kind of item:
| Tab | What goes there | Example |
|---|---|---|
| Services | Work you sell as a whole | "Water heater flush", "AC tune-up" |
| Labor | Time you charge for, usually by the hour | "Standard labor", "After-hours labor" |
| Materials | Parts and supplies you charge for | "3/4 in. copper pipe", "Wax ring" |
Each item has a name, an optional code (for materials this is the part number or SKU), a category, a unit (each, hour, foot, meter, pound, kilogram, gallon, liter, box, roll or set), a price and a description. Leave the price blank when an item has no fixed list price.
Codes are unique across your whole pricebook, so a service code and a material SKU can never point at two different items.
Adding and editing items¶
- Pick the tab for the kind of item you want.
- Click New Service, New Labor Item or New Material.
- Fill in the name and anything else you know, then click Save.
To change an item, click Edit on its row. Prices are entered in dollars and cents, for example 125 or 125.50.
Member price¶
An item with a list price can also have a Member price. When you add the item to a quote for a customer who holds a membership plan, the quote uses the member price instead of the list price. Customers without a plan still see the list price. The member price can't be higher than the list price, and a material linked to inventory has no member price of its own.
When two people edit the same item
If someone else saves a change to an item while you have it open, your save is stopped and the form tells you so. Click Reload item to see their changes, then make your edit again. Nothing you or they typed is overwritten without you seeing it first.
Services only: online booking settings¶
Services have three extra settings: the shortest and longest time the job usually takes, whether the service is offered online (Not offered online, Bookable online or Call to book), and how its price is shown online (Quoted on site, Free estimate or a "from" price). A "from" price needs a list price on the service. Labor items and materials are never offered online.
Bundling materials into a service or labor item¶
A service or labor item can include materials that always go with it. For example, a toilet replacement always uses a wax ring and a supply line.
- Save the service or labor item first.
- Click Edit on it. The Included materials section appears.
- Click Add material, choose the material and type the quantity (up to two decimal places, for example
10.5feet of pipe). - Click Save materials.
The Bundle total is the item's own price plus each material's quantity times its price. Each material line is rounded to the cent once, so 10.5 feet at $2.35 is $24.68. If any included material has no usable price, the bundle shows no total rather than a total that leaves something out. You can include up to 50 materials in one item.
Linking a material to inventory (Enterprise)¶
On the Enterprise plan, a material can take its price from an inventory item so you only keep the price in one place.
- Open the material with Edit.
- In Inventory link, search by part name or number and pick the inventory item.
A linked material uses the inventory item's sale price and its part number and unit, so those fields are locked in the pricebook. Change the price in inventory and the pricebook shows the new price.
To stop using the inventory price, enter the price the material should have from now on under Price after unlinking and click Unlink from inventory. The material keeps its name.
If your plan changes from Enterprise to Pro
Materials that were already linked keep showing the price from your inventory records, which stay available to read. You can't link new materials, but you can still unlink existing ones and give them their own price.
Archiving, restoring and deleting¶
- Archive hides an item from the active list without deleting it. Switch the status filter to Archived to find it again, then click Restore.
- Delete removes an item from your pricebook. Deleting a material also removes it from any service or labor item that included it.
- The arrow buttons on each row change the order items are listed in.
The search box filters the items already on screen by name, code or category.
Who can see and change the pricebook¶
| Role | What they can do |
|---|---|
| Owner, Manager | View, add, edit, archive, delete, bundle and link items |
| Dispatcher, Technician | View items and prices (read only) |
If your plan no longer includes the pricebook but you already have items, the page stays readable and changes are turned off until you upgrade again.
