Contract documents

Pro and Enterprise feature

Service agreements are available on the Pro and Enterprise plans. On Pro, an agreement covers a customer or one of their sites, with labor-only or inspection-only coverage, and its fee can be billed. Agreements tied to individual equipment and coverage that includes parts need the Enterprise plan, because they build on asset management and inventory. Compare plans to find the right fit for your business.

The agreement record holds the terms as data — coverage, dates, response times. The signed PDF the customer actually put their name to is a document, and it belongs on the same record so it is where you look for it a year later.

Where documents live

Open the customer, then their Contracts tab. Selecting an agreement shows its documents panel, where you can upload, list and download the paperwork attached to that agreement.

Documents hang off the customer record, not the Service Contracts page

Agreements appear on the Service Contracts page and on each customer's Contracts tab, but documents are managed from the customer side. That is the view where you are looking at one customer's arrangements, which is when you want their signed paperwork to hand.

Upload a document

  1. Open the customer and go to the Contracts tab.
  2. Choose the agreement.
  3. Upload the file in the documents panel.

Uploaded files are scanned and stored against that agreement, for that customer, in your company alone. Nobody outside your business can reach them.

What to keep here

  • The signed agreement or membership contract.
  • Terms and conditions the customer accepted.
  • Schedules of covered equipment that came with the paperwork.
  • Any variation or amendment letter, so the chain of what was agreed is complete.

Keep the superseded copy when you renew

A renewal creates a new agreement record. Leave the old agreement's documents where they are — you will want the terms that were in force when a disputed job was done, not the terms you agreed afterwards.
