Suggested parts

Suggested parts automatically pre-populate a parts list when a technician opens a job that matches a specific category. Instead of searching the full inventory catalog, your team sees the most commonly needed parts for that type of work — saving time and reducing errors.

Navigate to Settings → Suggested Parts to configure part associations.

Enterprise feature

Suggested parts configuration is available on the Enterprise plan. See Plans and pricing to upgrade.

Owner access required

Only users with the Owner role can manage suggested parts. See Roles and permissions for details.


How suggested parts work

Suggested parts connect your skill categories to your inventory catalog. When a job is created with a required skill, the associated parts appear as suggestions for the technician.

1 Owner associates parts with a skill category (e.g., HVAC → Refrigerant, Filters)
2 A new job is created requiring the HVAC skill
3 The technician opens the job and sees suggested parts pre-populated
4 The technician confirms which parts were actually used

Suggestions, not requirements

Suggested parts are recommendations. Technicians can add, remove, or change parts on any job regardless of what was suggested.


Creating a parts association

  1. Open Settings → Suggested Parts.
  2. Click Add Association.
  3. Select a Skill category from the dropdown (e.g., HVAC, Plumbing).
  4. Search for and select one or more Parts from your inventory catalog.
  5. Optionally set a Default quantity for each part.
  6. Click Save.

Managing existing associations

Editing an association

  1. Open Settings → Suggested Parts.
  2. Find the association you want to modify.
  3. Click the Edit icon.
  4. Add or remove parts, or update default quantities.
  5. Click Save.

Removing an association

  1. Click the Delete icon next to the association.
  2. Confirm the removal.

Removing an association does not affect jobs that have already been created — only future jobs stop showing those suggestions.


Prerequisites

Before configuring suggested parts, you need:

  1. Skill categories — create categories under Skill Categories.
  2. Inventory parts — add parts to your Parts catalog.

If either is missing, the suggested parts configuration page will prompt you to set them up first.


How technicians see suggestions

When a technician opens a job that has a matching skill category:

  1. The Parts tab on the job shows a Suggested parts section at the top.
  2. Each suggested part displays the part name, default quantity, and current stock level.
  3. The technician taps Add to include a suggested part on the job.
  4. Alternatively, the technician can search the full catalog for parts not in the suggestions list.

Stock awareness

If a suggested part is out of stock at the technician's assigned warehouse or van, it still appears in the list but shows a stock warning. See Van stock for details.


Managing mappings in the inventory dashboard

You can also manage suggested-parts mappings from the Inventory Management dashboard:

  1. Open Inventory Management from the sidebar.
  2. Click the Suggested Parts tab (visible if Auto-Assignment is enabled on your plan).
  3. Select a skill category from the left panel.
  4. Click Add Parts to add new parts or Remove to delete existing mappings.
  5. Click the quantity value to edit the default quantity for a part.

Frequently asked questions

Can I associate parts with individual jobs instead of categories?

Suggested parts are linked to skill categories, not individual jobs. This ensures every job of a given type receives the same suggestions automatically.

What if a technician does not use any suggested parts?

That is perfectly fine. Suggestions are optional. The technician can dismiss them and add whatever parts were actually used.

Do suggested parts affect inventory counts?

No. Suggestions do not reserve or deduct stock. Inventory is only updated when a technician confirms part usage on a completed job.

Can I suggest parts from multiple categories?

If a job requires skills from multiple categories (e.g., HVAC and Electrical), the technician sees suggested parts from all matching categories combined.
