Inventory on mobile¶
The mobile app gives technicians direct access to their van stock so they can check part availability, log usage on jobs, and scan barcodes — all without calling the office.
Pro and Enterprise feature
Mobile inventory features require a Pro or Enterprise subscription. Free-plan users can still view parts listed on a job but cannot manage van stock or scan barcodes.
View your van stock¶
Your van stock is the inventory currently loaded in your vehicle — the parts you carry to job sites every day.
- Open the Account tab.
- Tap My Van Stock.
- You see a list of every part assigned to your vehicle, including:
| Column | Description |
|---|---|
| Part name | The name of the part — for example, "30µF Run Capacitor". |
| Part number | The manufacturer or internal part number. |
| Quantity | How many units you currently have on hand. |
| Low stock alert | A warning icon appears if the quantity falls below the minimum threshold. |
Search your stock
Use the search bar at the top of the van stock screen to find parts by name or part number. This is faster than scrolling when you carry dozens of items.
Use parts on a job¶
When you use a part during a job, log it so your inventory stays accurate and the part appears on the customer's invoice.
- Open the job you are working on.
- Tap the Parts section.
- Tap Add Part.
- Find the part by searching, browsing your van stock, or scanning a barcode.
- Enter the quantity used.
- Tap Confirm.
The part quantity is deducted from your van stock automatically. Your dispatcher and owner see the updated stock levels on the web dashboard in real time.
Insufficient stock
If you try to use more units than you have on hand, the app alerts you. You can still log the usage, but a flag is added so your dispatcher can follow up.
Barcode scanning¶
Use your device camera as a barcode scanner to quickly identify parts.
- Tap the Scan button on the van stock screen or the parts section of a job.
- Point your camera at the barcode on the part or its packaging.
- The app recognizes the barcode and looks up the matching part in your catalog.
- Confirm the part and enter the quantity.
Supported barcode formats¶
| Format | Common use |
|---|---|
| Code 128 | Part labels, warehouse labels |
| UPC-A | Retail packaging |
| EAN-13 | International product barcodes |
| QR Code | Custom asset and part labels |
Good lighting helps
For the fastest scan results, make sure the barcode is well-lit and held steady about 6–10 inches from the camera. Avoid scanning at extreme angles.
Low stock alerts¶
Each part in your catalog has a minimum stock threshold set by your administrator. When your van stock falls below that threshold:
- A warning icon appears next to the part in your van stock list.
- If you have notifications enabled, you receive a low stock alert push notification.
Review your low stock items at the start of each day so you can coordinate with your dispatcher before heading out.
How van stock connects to warehouse inventory¶
Your van stock is a subset of your company's total inventory.

Frequently asked questions¶
Can I add a new part to the catalog from my phone?
No. Only Owners and Inventory Managers can add new parts to the catalog from the web dashboard. If you encounter a part that is not in the system, let your dispatcher know and they can add it.
What happens if I use a part on a job while offline?
If your company has offline mode enabled (Pro or Enterprise plan), the part usage is saved locally and syncs when you reconnect. The deduction is applied to your van stock once the sync completes. See Offline mode.
Can I transfer parts to another technician's van?
Van-to-van transfers are managed by your dispatcher from the web dashboard. Contact your dispatcher if you need to share parts with a colleague.
How do I undo a part used on a job?
Open the job, go to the Parts section, and tap the part entry. Then tap Remove to reverse the usage. The quantity is returned to your van stock.
