Asset management on mobile¶
The mobile app lets technicians interact with customer assets directly in the field — view equipment details, record meter readings, log issues, and review maintenance history, all from the job site.
Enterprise feature
Mobile asset management requires an Enterprise subscription. Contact your account owner to upgrade if you do not see asset features in the app.
View your assigned assets¶
Assets linked to your current jobs appear automatically in the job detail view.
- Open a job from the Jobs tab.
- Scroll to the Assets section.
- You see all assets associated with that job's customer location.
Each asset card shows:
| Field | Description |
|---|---|
| Asset name | The name or label — for example, "Rooftop RTU-3". |
| Asset tag | A unique identifier assigned by your company. |
| Type | The asset category, such as HVAC Unit, Compressor, or Generator. |
| Status | Current lifecycle status — Active, In Maintenance, Idle, and others. |
| Last serviced | The date of the most recent service record. |
Tap to expand
Tap any asset card to open the full detail view with specs, history, and actions.
Asset detail view¶
The asset detail screen gives you everything you need to work with the equipment.
Sections¶
| Section | What it contains |
|---|---|
| Overview | Name, tag, type, status, location, and assigned technician. |
| Specifications | Custom fields defined by your administrator — model number, serial range, capacity, voltage, and more. |
| Meters | Active meter definitions and the most recent reading for each. |
| Maintenance history | A timeline of all service events, parts replaced, and notes. |
| Warranty | Warranty status, expiration date, and coverage details. |
| Documents | Manuals, spec sheets, or other files attached to the asset. |
Record a meter reading¶
Meter readings track usage-based metrics such as operating hours, mileage, or cycle counts.
- Open the asset detail view.
- Tap the Meters section.
- Select the meter you want to update — for example, "Operating Hours".
- Enter the current reading from the equipment's display.
- Tap Save Reading.
The reading is stored with a timestamp and your name. If the reading triggers a maintenance threshold (for example, an oil change every 500 hours), your dispatcher receives an automatic alert.
Readings must increase
Meter readings are expected to increase over time. The app warns you if you enter a value lower than the previous reading. If the meter has been reset, add a note explaining why.
Report an asset issue¶
If you discover a problem with an asset during a job, report it immediately so your team can schedule follow-up work.
- Open the asset detail view.
- Tap Report Issue.
- Select the issue type:
- Malfunction — The asset is not operating correctly.
- Damage — Physical damage observed.
- Safety concern — A hazard that needs immediate attention.
- Other — Any issue that does not fit the above categories.
- Describe the problem in the notes field.
- Optionally, tap Add Photo to attach a photo showing the issue.
- Tap Submit.
The issue is logged in the asset's history and a notification is sent to your dispatcher. Depending on your company settings, a follow-up job may be created automatically.
View maintenance history¶
Use the maintenance history to understand an asset's service record before you start work.
- Open the asset detail view.
- Scroll to Maintenance history.
- Each entry shows:
- Date — When the service was performed.
- Type — Preventive, corrective, or inspection.
- Technician — Who performed the work.
- Notes — Summary of work completed.
- Parts — Any parts used during the service.
Review history before you start
Checking an asset's maintenance history helps you understand recurring issues, recently replaced parts, and any known quirks — so you can work more efficiently.
Check warranty status¶
Before replacing parts or performing major repairs, verify whether the asset is still under warranty.
- Open the asset detail view.
- Scroll to the Warranty section.
- Review:
- Coverage status — Active, Expired, or Not covered.
- Expiration date — When coverage ends.
- Provider — The warranty provider or manufacturer.
- Notes — Special terms or exclusions.
Warranty-sensitive work
If an asset is under active warranty, check with your dispatcher before performing repairs that might void coverage.
Assets linked to jobs¶
When your company links assets to jobs, you see the asset details right in the job view. This connection helps you:
- Know exactly which equipment you are servicing before you arrive.
- Access specs and history without searching.
- Log service records that automatically appear in the asset's timeline.
Frequently asked questions¶
Can I add a new asset from the mobile app?
No. Only Owners and Asset Managers can create new assets from the web dashboard. If you find equipment that is not in the system, report it to your dispatcher.
Can I update an asset's status from mobile?
Certain status changes (like marking an asset In Maintenance) are available from the asset detail screen. Terminal statuses such as Decommissioned or Retired can only be set from the web dashboard.
What if I don't see the Assets section on a job?
Assets appear only when equipment is linked to the customer location for that job. If you believe assets should be listed, ask your dispatcher to verify the asset-to-location assignment.
How do meter-based maintenance alerts work?
Your administrator sets thresholds on each meter — for example, "Service required every 500 operating hours." When a reading crosses that threshold, the system sends an alert and can automatically create a maintenance job.
