Asset tags & labels¶

Asset management is available on the Enterprise plan. Compare plans to find the right fit for your business.
Every asset in FSM Navigator receives a unique tag when it is created. You can print physical labels with QR codes that technicians scan in the field to instantly pull up asset details, log meter readings, or view maintenance history.
How asset tags work¶
When you create an asset, the system automatically generates a unique asset tag — a short, human-readable identifier like AST-00142. This tag:
- Cannot be changed after creation.
- Is globally unique within your company.
- Appears on every label alongside a scannable QR code.
The QR code encodes a link that opens the asset's detail page directly in FSM Navigator.
View an asset's tag¶
- Open the asset detail view.
- The asset tag is displayed at the top of the page next to the asset name.
- Click the tag to copy it to your clipboard.
You can also find the tag in the asset list table — it appears in the Tag column.
Print asset labels¶
Print a single label¶
- Open the asset detail view.
- Click Print Label in the top-right corner.
- Choose your label size (see label sizes below).
- Click Print to send the label to your printer.
Print labels in bulk¶
- Navigate to the Assets page.
- Select the assets you want to print labels for using the checkboxes.
- Click Actions → Print Labels.
- Choose your label size.
- Click Print to generate a PDF with all selected labels.
Use label printers for best results
Asset labels are optimized for standard label printers. You can also print on regular paper and cut the labels out, but a label printer saves time and produces more professional-looking results.
Label sizes¶

Each label includes:
- QR code — scannable link to the asset's detail page.
- Asset tag — the unique identifier in human-readable text.
- Asset name — the descriptive label you assigned.
- Company name — your company name for identification.
Scan a QR code¶
Technicians can scan asset QR codes using:
- The FSM Navigator mobile app — tap the scan icon on the home screen.
- Any smartphone camera — the QR code opens a web link to the asset detail page.
What happens when you scan¶
- The technician scans the QR code on the physical label.
- The FSM Navigator mobile app (or browser) opens the asset's detail page.
- From there, the technician can:
- View asset specifications and custom fields.
- Record a meter reading.
- View upcoming maintenance schedules.
- Check warranty status.
- See the full service history.
Authentication required
Scanning a QR code opens the asset detail page, but the technician must be logged in to FSM Navigator to view the information. Unauthenticated users are redirected to the login page.
Best practices for labeling¶
- Label assets at deployment — attach a label as soon as the asset is installed or put into service.
- Use durable materials — for outdoor or industrial equipment, use weather-resistant label stock.
- Place labels visibly — attach labels where technicians can easily see and scan them without disassembly.
- Replace damaged labels — if a label becomes unreadable, reprint it from the asset detail page. The tag and QR code remain the same.
Can I customize the tag format?
The tag format (AST-XXXXX) is automatically assigned and cannot be customized. This ensures uniqueness and consistency across your entire asset registry.
What if a label is damaged or falls off?
You can reprint the label at any time from the asset detail page. The tag and QR code are permanent — they never change even if the label is reprinted.
Can I search by asset tag?
Yes. Enter the tag (e.g., AST-00142) in the search bar on the Assets page. You can also use the tag when linking assets to jobs.
Do QR codes work offline?
The QR code links to the asset's online detail page, so an internet connection is required for the initial lookup. If you use the FSM Navigator mobile app with offline mode, previously viewed assets are available offline.
